These Terms & Conditions (the “Terms”) form a binding agreement between you and StayInventory. They describe the rules for using our platform, your responsibilities as a host, and the limits of our liability. Please read them carefully — by creating an account or using the service, you agree to everything below.
1. Acceptance of these Terms
By registering for an account, accessing, or using StayInventory (the “Service”), you confirm that you have read, understood, and agree to be bound by these Terms and by our Privacy Policy. If you are using the Service on behalf of a company or other legal entity, you represent that you have the authority to bind that entity, in which case “you” refers to that entity.
If you do not agree with any part of these Terms, you must not use the Service. We may update these Terms from time to time as described in the “Changes to these Terms” section below.
2. Eligibility & accounts
You must be at least 18 years old and capable of forming a binding contract to use the Service. You are responsible for keeping your login credentials confidential and for all activity that occurs under your account, whether or not you authorized it.
You agree to provide accurate and complete information when you register and to keep that information up to date. Notify us immediately at security@stayinventory.app if you suspect any unauthorized use of your account.
3. What the Service does
StayInventory helps short-term rental hosts catalog the items inside their properties, record guest stays, and run post-checkout inspections with photos and video. Depending on your plan, the Service may also let you invite staff, export your data, and generate findings reports.
We may add, change, or remove features at any time. We aim to give reasonable notice of material changes, but we are not obligated to maintain any particular feature indefinitely.
4. Plans, trials & billing
StayInventory offers a free tier that allows you to manage one property at no cost, plus paid plans billed on a recurring basis. New paid subscriptions may include a free trial period. Unless you cancel before the trial ends, your paid subscription begins automatically and the payment method on file will be charged.
Subscription fees are billed in advance and are non-refundable except where required by law. You authorize us and our payment processor to charge your payment method for all fees incurred. If a charge fails, we may suspend or downgrade your account until payment is resolved.
You may cancel your subscription at any time from your billing settings. Cancellation takes effect at the end of the current billing period, and you will retain paid features until then.
5. Your responsibilities
You are solely responsible for:
- The accuracy and legality of the inventory, guest records, inspection notes, and media you upload.
- Obtaining any consent required from guests, staff, or other individuals before uploading their personal information, photos, or video.
- Complying with all applicable short-term rental, tax, privacy, and surveillance laws in your jurisdiction.
- Managing the access you grant to staff members and revoking it when it is no longer needed.
6. Acceptable use
You agree that you will not, and will not permit others to:
- Upload content that is unlawful, defamatory, infringing, or that you do not have the right to share.
- Record or store images or video of individuals in violation of applicable law, including in private spaces where recording is prohibited.
- Attempt to gain unauthorized access to the Service, other accounts, or our infrastructure, or interfere with its normal operation.
- Reverse engineer, resell, or use the Service to build a competing product.
- Use the Service to transmit malware or conduct automated abuse.
We may investigate suspected violations and suspend or terminate accounts that breach this section.
7. Your content & our license
You retain all ownership of the data, photos, video, and other content you upload (“Your Content”). We do not claim ownership of Your Content.
To operate the Service, you grant StayInventory a worldwide, non-exclusive, royalty-free license to host, store, process, transmit, and display Your Content solely for the purpose of providing and improving the Service to you. This license ends when you delete Your Content or close your account, except for backups retained for a limited period and content others have already exported.
8. Our intellectual property
The Service, including its software, design, logos, and documentation, is owned by StayInventory and protected by intellectual property laws. These Terms do not grant you any right to our trademarks or branding. We grant you a limited, revocable, non-transferable license to use the Service in accordance with these Terms.
9. Suspension & termination
You may stop using the Service and delete your account at any time. We may suspend or terminate your access if you breach these Terms, fail to pay fees, or use the Service in a way that risks harm to us, other users, or third parties.
On termination, your right to use the Service ends immediately. We may delete Your Content after a reasonable period. We encourage you to export your data before closing your account.
10. Disclaimers
The Service is provided “as is” and “as available” without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. StayInventory is a record-keeping tool; it does not guarantee the recovery of lost or damaged items, and it is not a substitute for insurance, legal advice, or a security service.
11. Limitation of liability
To the maximum extent permitted by law, StayInventory and its affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or goodwill arising from your use of the Service.
Our total liability for any claim relating to the Service will not exceed the greater of (a) the amount you paid us in the twelve months before the claim arose, or (b) USD 100.
12. Indemnification
You agree to indemnify and hold harmless StayInventory from any claims, damages, liabilities, and expenses (including reasonable legal fees) arising out of Your Content, your use of the Service, or your breach of these Terms or of any law or third-party right.
13. Changes to these Terms
We may revise these Terms from time to time. If we make material changes, we will notify you by email or through the Service before they take effect. Your continued use of the Service after the changes become effective constitutes acceptance of the revised Terms.
14. Governing law & disputes
These Terms are governed by the laws of the jurisdiction in which StayInventory is established, without regard to its conflict-of-laws rules. Any disputes will be resolved in the courts of that jurisdiction, unless applicable law requires otherwise.
